Edit Documents and Annotate PDFs in the Cloud

edit-ipad180Starting later this week, CaseLink Web users will be able to edit Word and RTF documents and annotate PDF files directly from within CaseLink Web. This new feature will be a huge time saver for you as you no longer need to download documents to your computer, make the edits offline and then re-upload the documents to your case documents. The intuitive document editing toolbar and annotation palette echo the familiar icons of Microsoft® Word and Adobe Acrobat® so doing your work in the Cloud should be a very easy switch. In addition, CaseLink Web’s document management module now allows you to store multiple versions of an edited document.

Since this is a brand new feature, we’re providing you with instructions about how to annotate or edit a file in CaseLink Web in this article.

Simply locate the document you want to edit from within your case documents folder.

  • Word documents or .RTF files may be edited in CaseLink Web.
  • PDF files may be annotated (not edited) in CaseLink Web (bank statements cannot be annotated)

How to Annotate PDF Documents

  1. To annotate a PDF, simply click on the document to access the Preview/Properties box.
  2. Click on the Properties tab.
  3. Click on the pencil icon to activate the annotation screen.

    Clicking the pencil icon puts the document into edit/annotate mode.

  4. When the screen opens up, you will be able to view the document along with the PDF annotation options. Locate and click on the yellow folder to access the annotation functions.

    The CaseLink Web PDF Annotation interface is very similar to that of Adobe Acrobat and includes:
    Edit, Highlight, Underline and Drawing tools.

  5. Once edits are complete, click Save. A box will pop up stating “Annotations Were Saved”; click on the X in the upper right corner to close the document and pop-up window.

 

How to Edit Word and RTF Documents

  1. To edit a Word or RTF document, simply click on the document to access the Properties box.
  2. Next, you will need to convert the Word or RTF document into an online-editable “.bms” document. Locate the Convert To Online Editable Document option from the Select Action drop-down list.
  3. Once the document has been converted to the online-editable “.bms” format,  the Properties tab will have the pencil icon available next to the red delete icon. Click the pencil icon in order to edit your document.CLW_e1
  4. The document will now open in the document editing screen.

    Notice how similar the document editing toolbar icons are to those in Microsoft Word.

  5. Once edits are complete, click Save. A box will pop up stating “Annotations Were Saved”. 
  6. Click on the X in the upper right corner to close the editing window.

 

How to View Saved Document Changes

From the Documents Tree View, you will be able to see the changes made by noting that there is now an Original and Annotated document displayed in the list:
